Taking payments

The phone app can't take a typed-in card. Use the Register or the web.

When the payment goes through you'll see Paid, with the order number and, for cash, the change due. From there you can see whether a receipt was emailed, tap View sale to email one, or start a New sale. On the Register you can also print a receipt.

If card pricing is on, you see both prices. On the Register the buttons read, for example, Card · $10.30 and Cash · $10.00. On the web and in the phone app, the total shows the card price with the cash price under it, and Cash shows the cash price.

No card reader?

If this Register has no reader linked, you'll see No card reader on this register. Tap it to link one. Until then you can still take cash or type in a card. See Pair your card reader.

Pay on reader stays off until you pick a reader for this browser. Pick one under Reader for this browser in the payment window, or go to Point of Sales›Card readers and click Use here next to a reader. Until then you can take a keyed card, cash, or send the sale to a phone.

Pay on reader only shows once a reader is paired. To pair one, open the POS tab, tap Card readers, enter the Pairing code shown on the reader and tap Pair. If you have readers but none is chosen, pick one under Reader for this phone. You can always use Tap to Pay or cash.

If a payment fails

Payment failed means the card was declined or the payment was cancelled. Tap Back and try again or use another payment method, or tap Cancel order to drop the sale. This works the same on every device.

Tap to Pay

The Paybrain app turns your phone into a card reader. Customers tap a contactless card, phone or watch on the back of your phone. There's no extra hardware.

  • iPhone: Tap to Pay on iPhone, on iPhone XS or later
  • Android: Tap to Pay, on Android phones with NFC
  1. Turn it on

In the Paybrain app, open the POS tab and set up Tap to Pay under Accept Contactless Payments. On iPhone you'll also find it under Settings → Tap to Pay. Once it's done you'll see This phone is linked for Tap to Pay.

  2. Ring up the sale

Add items, or use Quick sale to charge an amount, then tap Charge and choose Tap to Pay. If you use loyalty or memberships, your phone first asks for the customer's phone number, which they can Skip. Then it asks Add a tip?. The customer picks a tip or No tip.

  3. The customer taps

Your phone shows Hold the card to the back of this phone. The customer taps their card or device on it, and the payment is done.

Tap to Pay only works in the Paybrain app. The Register uses a card reader, and the web can send a sale to your phone.

Send a sale from the web to your phone

Selling from the web register on a computer? Once a phone is linked for Tap to Pay, the web register can send the sale to that phone, and the customer taps there.

  1. On the web, go to Point of Sales›Card readers. Under Phones for Tap to Pay, click Use here next to your phone. You can also pick it under Phone for this browser in the payment window.
  2. Ring up the sale, click Charge $… and choose Send to phone.
  3. On the phone, keep the Paybrain app open. The sale opens on its own as Sale sent to this phone. Take the customer's phone number if asked, then the tip, and tap Charge $… or No tip.
  4. The customer taps their card on the phone. The web register shows Paid when it's done.

A phone only takes sales while the Paybrain app is open on it.

Who can take payments

With PIN sign-in on, each person needs the Manage Orders permission to ring up sales. Manage permissions under Settings›Employees.
