Sell from your phone

The POS tab in the Paybrain app is a full register. A sale you make on your phone is a register order like any other: it shows up in reports and closeouts, and the customer gets the same receipt as from the Register.

Before you start

  • Your catalog. The phone sells from the same menu, products and services as the Register. Add items under POS›Catalog. See Run your business from your phone.
  • A way to take cards. Set up Tap to Pay on this phone, or pair a Stripe smart reader under POS›Card readers. You can take cash without either.
  • Your location. If you have more than one, tap the location name under Point of sale and pick the one you're selling at.

Ring up a sale

  1. Open the register

On the POS tab, tap Register. You can also tap Register under Quick Actions on Home.

  2. Add items

Tap items to add them. Switch between Menu, Products and Services at the top, tap into a category, or search by name, barcode or SKU. Items with options, like a size or add-ons, ask you to choose first.

  3. Check the cart

Tap Cart at the top to see the order. From there you can Add customer, Add discount or add a Quick sale item. Tap Items to go back to the catalog.

  4. Charge

The total is always at the bottom of the screen. Tap Charge and pick how the customer pays.

Adding a discount needs the Apply Discounts permission when someone is signed in with a PIN. See Discounts.

Scan barcodes with your camera

Tap the barcode icon next to the search field to open the camera. Point it at a barcode and the item is added to the sale.

The scanner stays open, so you can scan a whole basket in one go. Each scan shows what was added, and scanning the same code again adds another. If an item needs a choice, like a size, the scanner closes so you can pick.

You'll seeWhat it means
Added …The item is in the cart.
No item has the code …Nothing in your catalog has that barcode.
… is sold outThe item is marked out of stock.
… is hidden from the registerThe item is in your catalog but hidden from sale.

Quick sale

Charge an amount without picking items, for a one-off or something that isn't in your catalog. On the POS tab, tap Quick sale, or tap Quick sale in the cart. Enter the Amount ($) and an optional Description, then tap Add $….

Take the payment

After you tap Charge, Take payment shows your options.

OptionWhat happens
Tap to PayThe customer taps their card, phone or watch on the back of your phone.
Pay on readerSends the sale to a paired card reader. Shown when your account has a reader. Pick one under Reader for this phone.
CashShows the Cash due. Enter the Cash tendered ($) and tap Record cash.
Add to tabAdds the sale to an open tab, or tap Start tab for a new one. Shown when the Tabs app is on. See Tabs.

Tap to Pay

Set up Tap to Pay on the POS tab under Accept Contactless Payments. On iPhone you'll also find it under Settings›Tap to Pay. Until this phone is linked, the option reads Link this phone for Tap to Pay on the POS tab first. Full setup steps are in Taking payments.

When you choose Tap to Pay:

  1. If loyalty or memberships are on and the sale has no customer yet, Customer asks for their phone number, for points, member benefits and the receipt. Tap Skip if they'd rather not.
  2. Add a tip? always comes next. Your phone has no tip screen of its own, so the tip is taken here. The customer picks a suggested tip, enters a Custom tip ($), or taps No tip. Tap Charge $… to continue.
  3. Your phone shows Hold the card to the back of this phone. The customer taps, and the sale is paid.

Tip suggestions come from Tipping under POS›Register settings. See Tips.

When it's paid

Paid shows the order number and total, the change due for cash, and whether the receipt was emailed. Tap Email receipt to send one, View sale to open the order, or New sale to start again.

Payment failed means the card was declined or the payment was cancelled. Tap Back to try again or pick another method, or Cancel order to drop the sale.

More ways to sell

These show on the POS tab when the matching app is turned on.

RowWhat it does
Open tabsEvery open tab, with a count. Start a tab or pay one off.
Unpaid visitsAppointments that happened but were never charged. Tap Charge to ring one up with the booked service already in the cart.
Enroll memberSign a customer up for a membership plan. Hand them the phone to read and agree to the Membership terms.

Find a sale or refund it

On the POS tab, tap Orders. Filter by Today, 7 days or 30 days, or search by order number, customer or item. Open an order to see its items, totals, customer and receipt.

To refund a paid order, open it, tap Refund and confirm. The full amount goes back the way it was paid, and it can't be undone. With PIN sign-in, refunds need the Process Refunds permission. See Refunds and voids.

Sign in as an employee

So sales, tips and discounts are credited to the right person, tap Sign in at the top right of the POS tab, pick your name and enter your PIN. It's the same PIN you use on the Register. Tap your name later to Switch employee or Sign out. Without anyone signed in, you sell as the account owner.

Pair a card reader

To take cards on a Stripe smart reader from your phone, go to POS›Card readers. On the reader, open its settings and generate a pairing code. Enter it under Pair a reader as the Pairing code, give it a Label like "Front counter", and tap Pair. Tap Use on this phone on a paired reader to make it the one your phone sends sales to.

The reader's own steps are in Pair your card reader.
