Getting paid
Every invoice has a payment page at paybrain.io. Your customer opens it from the email or the link you shared, checks the details and pays by card on Stripe's secure checkout. The money goes to your Stripe balance and is paid out on your deposit schedule.
To see the page the way your customer does, open the invoice on the web and click View as Customer.
What your customer sees
- The invoice: your business, the title, description, line items and the amount
- Attachments you've marked visible, with photos shown inline
- What You'll Get: a preview of the secure files and links that unlock after payment, if you added any
- Requested Files: any files you've asked them to upload. They can upload once they've paid.
- Complete Payment: they enter their Email Address and click Pay Now, which opens Stripe's checkout
After paying, they're brought back to the page, which now shows Payment Complete and unlocks any secure files and links. They can come back to the same link later to download them.
Card pricing on invoices
If card pricing is on, online invoice payments include a fee on its own line. The fee is your card price markup plus the flat fee, if you set one.
| Setting | On invoices |
|---|---|
| Card price markup (% · max 4) | Added to the invoice amount as a percentage. Capped at 4%. |
| Flat fee ($) · online invoices only | Added on top of the markup on online invoices. Also added to membership signup fees and dues when card pricing applies to memberships. |
| Fee label on online invoices | What the fee line is called. It's Processing Fee unless you change it. |
The payment page shows the fee line and the total before the customer pays, and Stripe's checkout charges the fee as a separate item. Set these on the Register under Settings›Payments, on the web in Settings under Card pricing, or in the Paybrain app.
Emails Paybrain sends
| Who gets it | When | |
|---|---|---|
| New invoice #… from your business | The customer | When you create the invoice with an email, or send a draft |
| Payment reminder | The customer | 3, 7 and 14 days after the invoice was created, while it's still pending |
| Payment Reminder Sent | You | Each time a reminder goes out |
| Receipt | The customer | After they pay, with a link back to the invoice and any files |
| Payment notice | You | After the customer pays |
| New files attached to your invoice from your business | The customer | When you add attachments to an invoice that's already been sent |
Reminders
Reminders are automatic. They go to the invoice's email address only, so an invoice without an email gets none. The third one is marked as a final reminder. Reminders stop as soon as the invoice is paid. There's no setting to turn them off for a single invoice.
Unpaid invoices
An invoice stays payable until it's paid or you delete it. If it's still unpaid 60 days after you created it, Paybrain archives it. You'll get a notification in your Paybrain alerts at 21 days and at 30 days first.
Fees
Invoices are charged the online rate: 3.2% + 35¢ on Basic and 4.2% + 40¢ on Premium. The rate is set by the plan you were on when you created the invoice, so switching plans later doesn't change it. See Plans and fees.
