Draft invoices with AI

Describe the job in a sentence or two and add photos of the work. AI writes the invoice for you: the title, the line items with your catalog prices, and the customer's details if you mention them. You review everything before it's saved, and nothing is sent until you send it.

It's on the web at Invoicing and in the Paybrain app on the Invoices tab, on both plans.

Draft an invoice

  1. Open Draft with AI

On the web, open Invoicing and click Draft with AI. In the app, open the Invoices tab and tap Draft with AI under Quick Actions.

  2. Describe the job

Under The job, write what you did and for whom. For example: Replaced the water heater at 12 Elm St for Maria Lopez (maria@example.com). 40 gal unit, 3 hours labor, hauled the old one away.

  3. Add photos and files

Under Photos and files, add up to ten. Use Take photo for the camera, or Add files on the web. In the app, choose Library or Files.

  4. Draft it

Tap Draft invoices. It usually takes 15 to 40 seconds.

  5. Review the draft

Check and change anything: the title, the customer's email, each line's quantity and price, and the Notes to the customer. Choose which attachments the customer sees. Then tap Create draft.

  6. Send it

Tap Send next to the draft, or open it later and send it from there. See Send a draft.

What the AI uses

  • Your description. Up to 6,000 characters.
  • Photos and PDFs. The AI reads JPEG, PNG, WebP and GIF photos and PDFs. Videos are attached to the invoice but not analyzed. Very large files are attached but not analyzed.
  • Your catalog. Your services, add-ons and products. When a line matches something in your catalog, it uses your price exactly and marks the line catalog. A price it had to guess is marked est., so check those first.
  • Your customers. If you mention an email or phone number that matches a customer, it fills in the rest of their details.

It never makes up contact details. If you don't give an email, add one before you send.

iPhone photos

The AI can't read HEIC photos. In the app, pick them with Library, which converts them to JPEG. On the web, export them as JPEG first.

Split a job into several invoices

The AI writes one invoice unless the job has stages or several customers, or you ask it to split. For example, add "Split into a deposit and a final" to your description. You'll get up to six drafts to review. On the web, Merge into one combines them back into a single invoice.

Things to check before you send

  • Estimated prices. Lines marked est. aren't from your catalog.
  • The email. A draft can't be emailed without one. You'll see No customer email — add one before sending.
  • Sales tax. If sales tax is set up, the AI quotes prices before tax.
  • Due date. Drafts don't include a due date.
