Create and send an invoice

An invoice is a payment request with its own link. Your customer opens the link, sees what they owe and pays by card. Use it when you can't take the payment in person, or when you want to be paid before or after the work.

You can create invoices on the web at Invoicing and in the Paybrain app on the Invoices tab. To have AI write the invoice from your notes and photos, see Draft invoices with AI.

Note

Finish connecting Stripe first. Until your payment setup is complete, you'll see Complete Payment Setup Required and can't create invoices.

Create an invoice

  1. Start a new invoice

On the web, open Invoicing and click Create Invoice. In the app, open the Invoices tab and tap Create Invoice under Quick Actions.

  2. Enter the amount, or add line items

Type the Invoice Amount. To list each item instead, turn on Use line items mode on the web and add a Description, Quantity and Unit Price for each line. The total adds itself up.

  3. Add the customer's email

Enter it in Customer Email Address. Start typing to pick a customer you've billed before. The email is optional, but without it nothing is emailed and there are no reminders.

  4. Add files, if you need them

Attach files the customer sees right away, or files and links that unlock only after they pay. See Files on invoices.

  5. Create it

Click Create Invoice. The invoice gets the next invoice number and its payment link goes live.

Send it

By email. If you entered an email, the customer gets it as soon as you create the invoice, with the subject New invoice #… from your business name and a link to pay.

By text or any app. Share the payment link yourself:

  • On the web, open the invoice and use Copy Invoice Link or Share Invoice at the top. While it's unpaid you'll also see Copy Invoice Link and View Payment Page under Payment Required.
  • In the app, open the invoice and tap Share to send it through Messages, WhatsApp or any app on your phone, or Copy Link.

The link opens the invoice's payment page. See Getting paid for what your customer sees.

Send a draft

Invoices drafted with AI start as drafts. A draft has no number yet, isn't emailed and can't be paid. On the web, drafts are listed under Drafts on the Invoicing page.

  • On the web, open the draft and click Send invoice. It needs a customer email.
  • In the app, open the draft and tap Send invoice. Look up the customer by phone or enter their name and email, then tap Email invoice, or tap Don’t email — I’ll share the link to make the link live without emailing.

Sending gives the invoice its number and makes it payable.

Reuse an invoice

On the web, click Duplicate Invoice on any invoice in Invoice History to start a new one with the same details. Change what you need and click Create Duplicate.

Who can create invoices

Team members need Manage turned on for Invoices under Settings›Team Members. With View only, they can see invoices but the create buttons are turned off.
