Track, edit and refund invoices
The Invoicing page on the web shows what you've billed, what's been paid and what's still outstanding. In the Paybrain app, the Invoices tab shows your Outstanding and Recent invoices, and View All Invoices lists the rest.

| Recent Invoices | Your five latest invoices |
| Outstanding Invoices | Invoices that are pending, processing or failed |
| Invoice History | Every invoice, filtered by date range and status. With team members, Created by shows who made each one. |
Invoice statuses
| Status | What it means |
|---|---|
| Draft | Saved but not sent. It has no number and can't be paid. |
| Pending | Sent and waiting for payment |
| Processing | The customer has paid and the payment is being confirmed |
| Paid | The payment went through |
| Payment Failed | The payment didn't go through. The customer can try again from the same link. |
| Refunded | The whole payment was refunded |
| Partially Refunded | Part of the payment was refunded |
| Archived | Still unpaid 60 days after it was created. See Unpaid invoices. |
Statuses change by themselves as the customer pays or you refund. You can't set one by hand.
Edit an invoice
You can edit an invoice until it's paid. On the web, open it and click Edit, make your changes and click Update Invoice. In the app, open it and tap Edit Invoice.
The payment link stays the same, so the customer sees your changes the next time they open it.
Duplicate, download or preview
On the web, open an invoice and use the buttons at the top:
- Download PDF saves a PDF of the invoice
- Preview Payment Page and View as Customer show the page your customer sees
To copy an invoice into a new one, click Duplicate Invoice in Invoice History.
Delete an invoice
Delete an invoice you sent by mistake or no longer want paid. On the web, open it and click Delete. In the app, tap Delete Invoice and confirm. The payment link stops working.
Paid invoices can't be deleted. Refund them instead.
Refund an invoice
You can refund all or part of a paid invoice, more than once, up to the amount paid.
Open the refund
On the web, open the invoice and click Refund. In the app, tap Refund.
Enter the amount and reason
Enter the Refund Amount. The page shows the Original Amount, what's Already Refunded and the Remaining Refundable. Pick a Reason for Refund: Requested by Customer, Duplicate Transaction or Fraudulent Transaction.
Refund it
Click Process Refund. The money goes back to the customer's card, and the invoice changes to Refunded or Partially Refunded.
Refunds can't be undone.
