Payroll
Payroll adds up what each employee earned in a pay period: hours from their shifts, gross pay at their hourly rate, tips and commission. Export it as a CSV for your payroll provider.
Set your pay period
Pick weekly or biweekly and the date a cycle starts, so Payroll lines up with your pay dates.
- On the Register: go to Settings›Payroll. This needs the Manage Settings permission.
- On the web: go to Manage → Payroll and scroll to Pay period.
| Setting | What it does |
|---|---|
| Pay period | Weekly or Biweekly |
| Cycle start date | The first day of any one pay period. Every period is counted on from it. |
| Default email recipients | Register only. The addresses filled in when you email the CSV. |
Until you set a start date, Payroll uses weekly periods starting this Monday.
Pay rates and commission
Set pay on each employee, under Settings›Employees or at Manage → Employees.
| Setting | What it does |
|---|---|
| Hourly rate | Their pay per hour. Appears when Track time is on. |
| Reduced rate for non-service time | For providers. Any clocked-in hour with no appointment, session or service sale is paid at a share of the hourly rate. Set the share in Non-service rate (% of hourly). It's 50% unless you change it, and it starts from their next clock-in. |
| Earns commission | Pays a percentage of what they sell. Set Service commission (%) and Product commission (%). Product commission covers retail products and menu items. |
Commission is worked out on each line's sales after discounts, before tax and tips. Commission settings only show when the Commissions app is on, and the provider settings when the Services app is on.
Run payroll
On the Register, open Payroll from the Apps drawer. This needs the View Payroll permission. On the web, go to Manage → Payroll. Payroll isn't in the Paybrain app.
Use the arrows to move between pay periods, or pick your own dates. The table shows a row for each employee:
| Column | What it shows |
|---|---|
| Shifts | Completed shifts in the period. A shift that's still open isn't counted until they clock out. |
| Hours | Hours worked, after breaks |
| Break | Total break time |
| Rate | Their hourly rate |
| Gross | Each shift's hours at the rate it was worked at, with any non-service hours at the reduced rate |
| Tips | Tips credited to them in the period |
| Commission | Commission earned in the period |
| Total | Gross plus tips plus commission |
Gross pay is straight time. Paybrain doesn't add an overtime premium.
Someone who earned tips or commission but has no shifts still gets a row, so commission-only staff are paid too.
Before you export, check for forgotten clock-outs and missed shifts. See Fix a shift.
Who gets the tip
- When a sale has a service done by a provider, the tip goes to that provider. If several providers worked on it, the tip is split between them by the value of their services.
- Otherwise, the tip goes to the employee who rang up the sale, or who closed the tab.
See Tips for how tips are collected.
More than one location
With more than one location, Payroll opens on All locations, because one person's pay covers every store they worked at. Pick a single location to see just that store.
Exports always cover every location, so each person's hours are counted together.
Export for your payroll provider
Pick a format:
| Format | What's in it |
|---|---|
| Homebase | One row per shift: date, clock-in and clock-out, break, hours, hourly rate, gross pay, tips, commission and non-service hours. Tips or commission earned outside any shift get their own row, marked unshifted. |
| ADP | One row per employee: regular hours, overtime hours, tips, commission and non-service hours. OT Hours is every hour over 40 in the dates you export. |
Then:
