Docs/Customers and loyalty

Loyalty

Customers give their phone number at checkout, earn points on what they spend, and use those points for money off a later visit. Every phone number also lands in Customers, which is the list your promotion texts go to.

Turn on loyalty

Turn on the Loyalty app under Settings›Apps, or tap Activate loyalty & campaigns in the setup wizard. Once it's on, the card reader asks for a phone number on card sales, and points start adding up.

How customers earn points

Customers earn 1 point for every whole dollar they pay. That rate is fixed. Points are added when the sale is paid, by card or cash, as long as the customer's phone is on the sale. See how customers get added.

On a card sale the reader shows Loyalty Program with this text, and the customer can tap Skip:

Enter phone to earn/redeem points or link a card. By entering, you agree to promotional SMS.

Entering a number records their agreement to your texts, and the reader links their card to them. If they skip the phone next time and pay with the same card, the points still go to them.

How customers use points

Points are offered on the card reader, right after the customer enters their phone. If they have enough, the reader shows Loyalty Rewards: "You have 450 points ($4.50 value). Apply to this order?" They tap Yes, use $… or No thanks, and the reward comes off before the card is charged. It works the same when paying a tab, including part payments.

A reward can't cover the whole sale. At least $0.50 is always left to pay by card, and only the points needed are used.

Points are offered only when the phone is entered on the reader

If you added the customer on the Register before charging, for example with Add loyalty customer or by attaching a member, the reader skips its phone step, so it doesn't offer points. They still earn points on the sale. Cash and typed-in card sales on the Register earn points but can't use them.

On the web register, open the Customer window from Add customer. When the customer has enough points, tick Use $… reward on this sale (… points). In the Paybrain app it's the same: tap Add customer in the cart, enter their phone, and tick Use $… reward on this sale.

Set how points are worth

  1. Go to Settings›Loyalty. The Loyalty row appears once the Loyalty app is on, and changing it needs the Manage Settings permission.
  2. Change the settings below. The Register spells out what you're giving back: at 100 points for $1 off, that's 1% of every sale. At 50 it's 2%.
  3. Tap Save changes.
  1. Open Register settings and find the Loyalty card.
  2. Change the settings below.
  3. Click Save loyalty settings.
  1. On the POS tab, open Register settings and scroll to Loyalty.
  2. Change the settings below.
  3. Tap Save settings.
SettingWhat it does
Points needed for $1 offHow many points buy $1 off. The default is 100. Set it to 0 and customers keep collecting points but can't spend them.
Points needed to redeemThe smallest balance a customer needs before the reader offers a reward. 0 means no minimum.
Small numbers are expensive

Because customers earn 1 point per dollar, Points needed for $1 off sets your give-back rate. At 1, every point is worth a dollar and a regular's balance can wipe out their whole bill. The Register shows the summary in red below 20.

See points on a sale

Open a sale on the Register to see LOYALTY POINTS, with points Earned and Redeemed. A redeemed reward prints on the receipt as Loyalty Discount. The customer's profile shows points redeemed on each purchase.

Track how it's going

On the web, open Reports and choose Loyalty. It's also under Reports in the Paybrain app.
