Customer profiles
Every customer who gives you their phone number gets a profile with their points, what they've spent, how often they come in and what they bought. The phone number is what identifies them, so the same person is one profile however they pay.
How customers get added
You don't type customers in. They're added when a phone number is attached to a sale or a membership:
- At the card reader. When Loyalty or Memberships is on, the reader asks for a phone number before the card. The customer can tap Skip. If they're new, or we don't have their name or email yet, the reader asks for those next.
- On the Register. Tap Add loyalty customer under the order and enter a phone under Phone (optional, required for points), then tap Save. A name on its own isn't enough: without a phone there are no points, no member benefits and no emailed receipt.
- On a typed-in card. When Loyalty or Memberships is on, the Register asks for a Phone number before you charge. It's optional.
- On the web register. Tap Add customer. The Customer window looks the phone up as you type and shows matching customers to pick from.
- In the Paybrain app. Tap Add customer in the cart. The Customer sheet looks the phone up and suggests matching customers.
- When you enroll a member. See Memberships.
Turn on the Customers app under Settings›Apps if you don't see it. Loyalty, Promotions and Memberships turn it on for you.
Find a customer
On the Register, open Customers from the Apps drawer. Search by phone or name, or narrow the list:
| Filter | Who's in it |
|---|---|
| All | Everyone |
| Visited 30d | Customers who visited in the last 30 days |
| Lapsed 60d | Customers who've visited before, but not in the last 60 days |
Each row shows Points, Spent, Visits and Last visit. Customers who replied STOP to your texts are marked Unsubscribed.
On the web, go to Customers under Manage, where you can also search by email. In the Paybrain app, open the POS tab, then Manage, then Customers.
What's on a profile
Tap a customer to open their profile.
| Section | What it shows |
|---|---|
| Points, Spent, Visits | Their points balance, lifetime spend and number of visits |
| Contact | Phone, email and name |
| Client profile | Answers they gave on your forms, when there are any |
| Activity | Last visit and Customer since |
| The usuals | What they keep buying across their recent purchases, and the option they usually pick, like "usually Oat milk" |
| Purchases | Each sale and tab, newest first, with the items. Notes show a split payment, a tip or points redeemed. Anything Refunded, Partly refunded or Unpaid is labelled. |
| SMS marketing | Whether they agreed to texts: Given with the date, Unsubscribed with the date, or Not given |
Purchase amounts are what the customer paid, tip included.
Edit a customer
On the Register, open the profile and tap Edit. Change the First name, Last name, Email or Phone, then tap Save. Enter the phone with its country code, because it's how the customer is looked up next time.
Profiles are read-only on the web and in the Paybrain app.
Delete a customer
On the Register, open the profile and tap Delete customer at the bottom. This permanently removes their points and history.
You can't delete a customer whose membership isn't cancelled. Cancel the membership first. See Cancel a membership.
Export your customers
Send your customer list to a spreadsheet or another SMS tool. On the Register, open Customers and tap Export CSV, then choose where to send the file. Export is only on the Register.
To choose what goes in the file, tap the gear icon next to Export CSV. In CSV Export Settings you can:
- Turn each field on or off
- Rename its column header to match the tool you're importing into
- Reorder the columns with the arrows
- Pick a preset, Generic, Klaviyo, Mailchimp or Attentive, to rename the headers that tool expects. Presets don't turn fields on or off or change the order.
Tap Save, or Reset to defaults to start over. The fields include phone, name, email, points, lifetime spend (in cents), visits, last visit, when the customer was added, and when they agreed to texts and on which prompt. Phone numbers are exported with the country code, like +15551234567, so spreadsheets don't mangle them.
