Questions
What is an AI POS system?
An AI POS system is a point of sale that also reads your own sales, catalog and customer history and drafts the back-office work for you: the reorder, the promotion, the invoice, the digital form. You review and approve; it doesn't act on its own.
Regular POS vs AI POS
| Regular POS | AI POS (Paybrain) | |
|---|---|---|
| Reorders | A stock report; you work out the order | Reads four weeks of sales per location and drafts a purchase order per supplier |
| Promotions | You pick the offer and write the message | Up to four promo ideas from the last four weeks of sales, with the message written |
| Invoices | Typed line by line | Drafted from a one-sentence job description and photos, priced from your catalog |
| Paper forms | Retyped by hand, or kept on a clipboard | Photographed and rebuilt as a digital form |
| Before an appointment | Scroll the visit history | A short brief: past visits, notes, what to bring up |
| Cost of the AI | — | $0 add-on; included with every account |
What Paybrain's AI does
| What it does | Where you stay in charge | |
|---|---|---|
| Purchase orders | Reads four weeks of sales at each location, flags what is out, low or about to run out, and drafts the reorder, one per supplier. | Quantities come from your own sales; the AI writes the summary. |
| Promo ideas | Reads the last four weeks of sales (what is trending, what has stalled, who hasn’t been back) and pitches up to four ready-to-run promotions. | Tap one to use it, or write your own. |
| Invoice drafts | Describe a job in a sentence and add photos; it drafts the invoice priced from your own catalog. | Estimated prices are flagged; you check and send. |
| Paper form import | Photograph a paper waiver or intake form and it rebuilds it as a digital form. | You review the fields before it goes live. |
| Form translation | Puts an intake or consent form into every language you offer. | You review each one before it goes out. |
| Catalog import | Reads your old product spreadsheet, maps the columns and flags duplicates and missing prices. | Nothing is added until you confirm. |
| Client briefs | Before an appointment, summarizes the client’s visits, notes and purchases into a short brief. | Marked as AI-written so you know to check it. |
| Assistant | A chat in the treatment room that knows the client’s history and your catalog: ask about the client, get add-on ideas or when to rebook. | Anything it proposes waits for your OK. |
| Add-on and rebooking suggestions | Suggests add-ons from your own menu that suit the client, and when to book the next visit. | Approve or decline every suggestion. |
The AI works from your data, not generic guesses: your catalog and prices, your sales, your notes on a client. That's why a reorder reflects what actually sold and an add-on suggestion comes from your own menu.

Questions people ask
What is an AI POS system?
An AI POS system is a point of sale that, on top of ringing up sales, uses AI to read your own sales, catalog and customer history and do back-office work for you: drafting reorders, suggesting promotions, writing invoices and digitizing paperwork. A person reviews what it produces.
How is it different from a regular POS?
A regular POS records sales and shows reports; you decide what to do with them. An AI POS also reads that data and drafts the next step, such as a purchase order, a promotion or a client summary, so the work starts done and you approve it.
Does the AI act on its own?
Not on Paybrain. Every AI feature produces a draft or a suggestion: purchase orders, promotions, invoices, forms and client briefs all wait for a person to review, approve or edit them.
Does AI cost extra on Paybrain?
No. The AI features come with the account, with no monthly fee and no AI add-on. You pay per card payment (3.0% + 10¢ in person), and the Register kit is $999 once if you want the countertop hardware.
What kinds of businesses use an AI POS?
Any business that sells over a counter or by appointment: restaurants and cafés (promotions, reorders), retail (catalog import, stock and reorders), salons and med-spas (forms, client briefs, rebooking) and service pros (invoice drafts).
AI included — not an add-on.
No monthly fee. 3.0% + 10¢ per in-person payment.
